Structure in an emotional process

Arranging a divorce means making dozens of agreements: who has the children at Christmas, how do you divide summer vacation, what do you agree on regarding alimony, smartphones, school choices. Every mediator handled this differently. One worked with Word templates, another typed everything manually. Calculations were done separately, agreements ended up scattered across documents and emails, and the final result—a parenting plan or settlement agreement—had to be assembled from scratch every time.

iDocx brings that entire process together in one platform. The mediator creates a case file, adds contacts and children, and then works through all the relevant steps: holidays, vacations, weekly schedules, alimony, agreements about school, health, and everything else that needs to be arranged. At the end, the platform generates a complete document in natural language, with the correct names, scenarios, and legal phrasing.

The special part lies in the document generation. The system converts agreements into readable sentences based on grammar rules and templates. Not “Contact A gets vacation half 1 in odd years” but “In odd years, Peter chooses the first half of the summer vacation; in even years, Anna chooses the first half of the summer vacation.” Legally correct, humanly readable.

Additionally, the platform is set up for collaboration. The mediator can invite clients or an attorney to a case file with specific permissions, so everyone can contribute without the mediator having to retype everything.

Drafting a parenting plan or settlement agreement was time-consuming, error-prone, and different for every mediator. The challenge was to standardize this complex legal process without losing flexibility:

  1. Complex legal data model. A parenting plan or settlement agreement contains dozens of categories of agreements, each with their own options, scenarios, and dependencies. The data model must be flexible enough to cover every family situation.
  2. Document generation in natural language. Agreements stored as structured data must be translated into fluent legal sentences. This requires grammar rules, templates, and conditional logic that account for names, gender, plural forms, and varying scenarios.
  3. Collaboration with permissions. Mediators, clients, and attorneys work together in the same case file, but not everyone is allowed to see or edit everything. The system must provide fine-grained access control per case file and per role.
  4. Calm in an emotional process. Mediators are not tech experts, and their clients even less so. A divorce is already emotionally taxing—the interface must not add to the cognitive load. This required more than a functional design: it called for a thoughtful UX where flows, information density, and visual language actively contribute to clarity and calm.

The solution

A platform that digitizes the entire mediation process:

  • Step-by-step case process. That guides the mediator and clients through all relevant agreements without anything being forgotten.
  • Document generation engine. That converts structured agreements into natural legal language with correct names and grammar.
  • Collaboration portal. Where clients and attorneys are invited with role-based permissions per case file.
  • Built-in calculation tools. For alimony and other financial calculations, directly within the process.
  • Design system with UX as the starting point. In collaboration with UX designer Tina Danu, the complete user flows were worked out and a design system was developed that makes the complexity of the legal process manageable.

From concept to SaaS platform

The platform is in active development and is being prepared for launch as a SaaS service for mediators and divorce attorneys in the Netherlands. The core functionality—case files, parenting plan, settlement agreement, document generation, and collaboration—is running and being further developed with new mediation tools. In collaboration with: Scheidingsdesk.
